Improving task planning with recurring tasks in GroupCamp Project
Because most projects include repetititive work, recurring tasks allow you to be more efficient in generating recurring tasks across multiple task lists and projects. The screenshot below shows the recurring task creation form:
Improving task planning - Step 1: Defining the periodicity and options of the recurring task
Users can choose their periodicity depending on how often their project tasks will occur (the screenshot above shows a weekly periodicity) :
The choice of the periodicity : Daily, Daily but for business working days only, Weekly, Monthly.
Once the periodicity is set you can choose more advanced settings for your tasks (for example, choosing which day(s) of the week)
the start date (this is set by default to the next day), and the end date (if no end date is set the recurring tasks will always be generated),
the number of tasks to be created in advance (please read below for more on this).
Please note that the business/working days displayed in recurrent tasks are those defined in your personal user settings.
Improving task planning - Step 2: Defining the recurring task generator
Generating recurring tasks means choosing the task list in which they should be generated (this list can be private). You can then assign to one or more project members and choose followers for the tasks. Once the generator is created, the number of tasks to be created in advance are included in the task list. One important thing to bear in mind is that, once they are generated, every single occurrence of a task behaves as any normal task. They can be edited, deleted or completed individually. They are displayed in the project schedule and synced with calendars when due dates are set.
Please note also that if a recurring task (the generator of the recurring task) is updated, all tasks already generated are not updated. The same applies if the generator of a recurring task is deleted.
In your project, all recurring tasks are displayed as shown below :
Clicking on the recurring task icon allows you to access the recurring tasks generator.
Creating recurring tasks in advance
When creating recurring tasks, you can define the number of tasks to generate in advance. Once the date of the first occurrence is reached, a new task is generated so that you always have the same number of tasks generated in advance.
This feature(the recurring task generator) has the following benefits:
your task lists are not crowded with too many recurring tasks,
you are notified each time a new recurring task is generated,
each generated task can be ‘handled’ individually without any impact on other occurrences.
Recurring tasks and project settings.
You can limit access to the generator of recurring tasks to a restricted group of users :
Users who cannot generate recurring tasks are still allowed to view them.
Note : the number of recurring tasks in a GroupCamp account is unlimited for plan Best & Max
